Account & plans
Free, Pro and Team: what each includes, how to upgrade, and your data and privacy.
Apiboo is free on your own machine. The whole desktop app works without an account and without paying: every tool, unlimited local collections and requests, the Vault, databases, terminals and the AI assistant with your own key. The paid plans are about what goes through Apiboo's servers: syncing more, sharing with a team and keeping files in the cloud. This page explains the plans, where to see your usage, how to upgrade or cancel, and what happens to your data.
The plans
| Plan | For |
|---|---|
| Free | Working on your own. Everything local, plus the web app and limited sync of boards, documents and the calendar. |
| Pro | Unlimited sync, cloud workspaces, Vault sync, cloud mock servers and one small team. |
| Team | Shared team workspaces, organisations, roles and central billing. |
| Enterprise | Custom terms. Contact Apiboo from the upgrade window. |
Current prices and the full comparison are in the app under Settings → Billing (click Upgrade plan) and on apiboo.com/pricing.
What the Free plan limits
On Free, nothing you do on your own machine is limited. The limits are on the cloud:
| Area | On Free |
|---|---|
| Boards and documents in the cloud | Up to 3 boards and 50 documents, and 5 MB of synced content. Beyond that, new boards and documents are kept on this device, unlimited (see Boards and documents: cloud or this device). |
| File storage | 1 GB for chat attachments and document images, up to 5 MB per file. |
| Cloud workspaces and Vault sync | Paid. Creating or publishing a cloud workspace opens the upgrade window. |
| Chat | Direct messages and channels you're invited to. Creating your own channels is paid. The history you can read and search covers a limited window (see Chat search & export). |
| Chat export | Paid. |
| Cloud mock server | Paid. Cloud Mock shows a Pro badge (see The local mock server). |
When you reach a limit, Apiboo tells you what happened and keeps your work on this device; nothing is lost. For example: "This board could not be put in the cloud: your plan includes a limited number of boards there. It is still saved on this device."
See your plan and usage
Sign in and open Settings → Billing:
- Current Plan shows your plan, with Upgrade plan or Adjust plan.
- Sync shows what your plan keeps in the cloud and how much of it you use, for example "In use: 2 of 3 boards · 31 of 50 documents · 1.2 MB of 5 MB", and your file storage. On a paid plan it reads "Included in your plan, without limits."
- My billing info, Invoices and Subscription cover payment.
When you get close to a cloud limit, a cloud icon appears in the title bar. Click it for Your cloud limits: boards in the cloud, documents in the cloud, synced content and file storage, each as used of allowed, with Upgrade for unlimited.
Upgrade
- Open Settings → Billing and click Upgrade plan. The account menu's Plan & billing and every Upgrade button in a limit message lead to the same window.
- Choose Monthly or Annual.
- Pick a plan. Checkout opens in your browser.
- Come back to Apiboo when you're done. Your new plan shows next to your name in the title bar.
Have a promotion code? Enter it under Have a code? in Settings → Billing.
Cancel
In Settings → Billing → Subscription, click Cancel subscription and confirm. Until the paid period ends you can take it back with Resume subscription.
Your data and privacy
Where your data is
Apiboo keeps your data in a database on your computer. Signed out, that's a separate local profile; signed in, each account has its own. Only what you sync or share goes to Apiboo's servers.
Encryption
The Vault is always encrypted. For everything else, turn on Settings → Privacy & Data → Local encryption → Encrypt local data at rest. It encrypts the local database with a passphrase, so a copied or stolen file can't be read. You also get a 12-word recovery phrase; keep it safe.
- Remember on this device keeps the key in your system's keychain, so this computer opens without asking.
- Lock now closes the database and forgets the key until you unlock it again.
Local encryption doesn't protect against malware running while the database is unlocked, and it doesn't encrypt collections mirrored to Git.
Usage data
Settings → General → Send anonymous usage data counts which features get used, so the team knows what to improve. It stores no identifier and no IP address, and nothing from your requests leaves your machine. Switch it off to stop it.
Export and delete
- Settings → Privacy & Data → Export My Data downloads your data as a JSON file: workspaces, collections and account information. You need to be signed in.
- Settings → Account → Delete Account deletes your account and everything in it, after you confirm with your password. This can't be undone.
The full privacy policy is at apiboo.com/privacy; Settings → About links to it and to the terms of service.
